Camps Services Manager
Company is having construction projects in Riyadh, Jeddah, Dammam, Hofuf, Hail, Al – Baha, Taif, and Abha & Aseer Region with its Head Office in Riyadh – Saudi Arabia. My assignment as Camps Services Manager is to mobilize, manage and control of labor camps, rented buildings of all Projects and reporting to CEO – Head Office Riyadh.
Duties & Responsibilities:
Mobilize Camps:
➢ Supporting Project Management and to work closely with the Construction Team engaged in preparing of Camps.
➢ To analyze the Manpower Forecast, Camp Drawing etc. to ensure work is in right direction and to recommend for changes if required.
➢ To focus on development of Camps Facilities includes: compound fencing, camp offices, clinic, accommodation and sanitary blogs, use water station, drinking water station, catering section, laundry, masjid, grocery shop, recreation & gym, barber & tailoring shops, call cabins, transport blog, proper roads, sign boards, stores, renovation & repair and technical workshops, power house station, fire & safety station, security system and main gate, sewage pumping station, garbage collection station etc. etc.
➢ Planning, preparing the list of Camp requirements and requesting and arranging materials accordingly.
➢ Planning and recruiting of experienced manpower required for Camps Operations and Maintenance services and placing them to the camp locations accordingly.
Camp Management:
➢ Implementing of Company Rules and Regulations plus Camp Policies and work Procedures.
➢ To manage and establish the camps with high personnel administration works and performance to ensure efficient & safe operation.
➢ Conducting meeting and training the newly arrived staff to work for the camps services.
➢ Assigning responsibilities to Camp Bosses and Supervisors to ensure proper management and control of Camp works for the wellbeing of Company employees.
➢ Assigning responsibilities to Chief of security & safety and fire & safety services to keep Camps Operating well and resident’s safety.
➢ Control and monitoring of daily needs of Camps includes use and drinking water, disposal of garbage and sewage, provision of cooking gas, cleaning and pest control works etc.
➢ Planning and execution of required maintenance works of Camps Facilities includes plumbing, electrical, AC’s and renovation and repair works in due time.
➢ Daily inspection of rooms by concerned Camp Team to check all employees are on duty and sending reports to Project Managers.
➢ Conducting scheduled & surprised inspections by visiting the Project Camps and the Project Managers to ensure proper work standard and hygiene is maintained.
➢ Meeting employees of the Company and listening to their grievances needs and recommendations if any within Company Policy and processing accordingly.
➢ Meeting Project Managers to notify the grievances of the employees for execution of better works and coordination.
➢ Presenting of Camps visit reports to CEO for updates, information and further requirements.
➢ Scheduling of shopping trips weekly and occasionally to city market for employees.
➢ Monitoring of emergency cases and sick to Hospitals in due time by the concerned Camp Team. 24 hours service standby.
➢ Follow up of employees cases with the Project Management and concerned services related to delay of Resident Permit, Insurance Medical Card, provision of Safety items for performing duty on site etc.
➢ Control of camps purchasing and overall expenses and presenting of bills to accounts department for verification and re-imbursement of petty cash.
➢ Maintaining of materials stock and requesting needed items for Camp operation.
➢ Presenting of camp reports daily, weekly, monthly to the CEO Office to keep camp updates and information of all locations.
➢ Maintaining and update of Camps inventory, staff evaluation and submission of reports.
➢ Planning Camps Budget of all services for the upcoming year within Company Policy.
➢ Attending of monthly meeting discussing all related aspects and camp development.
➢ Forwarding of matters to Administration Department for action concerning violation of company rules & regulations, damage of company property and illegal matters in the camps.
New Arrivals & Dispatching of Manpower:
➢ Arranging transport to pick up the new arrivals from the Airport to accommodation camp.
➢ Employee reception and provision of food & accommodation to eligible staff as per Company Policy and Category with the data of arrival & departure.
➢ Arranging for Residence Permit (Iqama) Medical Test in coordination with Administration office and submission of Passports.
➢ Dispatching and arranging Company Transportation from Riyadh for newly arrived manpower to Project locations in coordination with the HR Department.
➢ Passing the information to Project locations in advance for arranging food and accommodations accordingly.
➢ Responding to Project mails incase of absent employees / not reporting to work etc.
Initiative & Contributions:
o Introduced “Daily Camp Report System” for all camps in the Kingdom. This report covers all aspects of camps such as update Accommodation data of employees, Daily consumption of water and the cost, Daily sewage pumped out and the cost, Water and Sewage comparison, Daily cleaning of camp outlets, Garbage removal, Patients to hospital and emergency cases, Checklist of health and safety, List of vehicles in operation and breakdown under repair. Areas of concern and action taken etc.
o Introduced the trend of conducting “Monthly Meeting” with camps senior staff and maintained a record of minutes of meeting.
o Introduced “Manpower Forecast – Six Months Look Ahead”. Visiting Site Project Managers and collecting the data of projected manpower and arrangement of accommodation accordingly.
